The handover walk-round, and a return you can prove

A quarter of an hour at collection is the best value in the whole transaction. Everything that goes wrong later is decided by what you recorded, or failed to record, in the parking bay.

Fifteen minutes that save thousands

The damage sheet handed to you at the counter is a line drawing with a few ticks on it, prepared by somebody who had four minutes. It is not a record of the car's condition; it is a record of what the last person noticed. Walk the vehicle slowly before you sign. Kerbed alloy rims, a scuffed rear bumper corner, a star in the lower windscreen, a torn boot liner, a missing load cover, a dent in the tailgate that only shows in raking light: every one of those becomes yours by default the moment you drive out.

Mark each one on the sheet, then have the person who released the car initial your additions. Not a verbal acknowledgement, not a nod. Initials. If the branch is busy and nobody will come out, write on the sheet that no representative was available to inspect, note the time, photograph the sheet, and send it to yourself on your telephone so the record carries a timestamp. We have seen that single step kill a R6 400 bumper charge stone dead.

Photographs, and where to stand

Photograph in a sequence you repeat every time, so you cannot leave anything out. All four corners from a few paces back at hip height, then each wheel and rim close up, then the full windscreen from outside with the light behind you, then the roof if you can see it, then the load bay or boot with the liner visible, then the cabin including the seats and the dashboard with the odometer and fuel gauge readable. Fifteen to twenty frames. Two minutes.

Light matters. A dark parking garage hides exactly the shallow dents and swirl marks you are trying to record, so move the car out into the open if you can, or use the flash deliberately at an angle rather than straight on. Keep the whole set until the final invoice has cleared, then keep it another month. The same sequence at return, in the same order, is what turns a dispute into a two-email matter instead of a two-month one.

Trackers, immobilisers and where you may park

Nearly every hire vehicle in South Africa carries a tracking unit, and the agreement usually comes with conditions attached to it. Common ones are that the vehicle must be parked in a locked garage or a guarded facility overnight, that the immobiliser must be armed, and that the car may not be left on a public street in named high-risk areas. Those conditions are not decoration. Breach them and a theft claim gets declined, which means the full value of the car and not the excess.

Ask at collection what the overnight parking requirement is and whether your accommodation satisfies it. A guesthouse on Florida Road with a gate and a guard usually does; a street parking bay in the Berea, with the best will in the world, usually does not. Ask too whether the tracker logs speed and location in a way the company reviews, because many do, and a hire that spent an afternoon on a gravel pass in breach of the agreement is a hire the company can see. Nobody enjoys finding that out at return.

After-hours returns

Dropping a car outside opening hours is normal and it is the highest-risk moment of the whole hire, because you are leaving a vehicle nobody has inspected and then walking away. If the branch has a key box, use it, and before you post the key do the full photograph sequence in the bay plus a shot of the parked car from the front of the bay showing the surroundings, and a shot of the key going into the box. Note the time. Note the fuel gauge and the odometer.

At the airport, follow the signage into the designated return lanes rather than improvising a bay, because a car left in the wrong place can be towed and the towing is yours. If an attendant is present, get a signed return slip even if they wave you off and tell you it is fine. The slip costs nothing and it is the document that fixes the condition and the time at which the vehicle left your hands. Without it you are relying on the company's record of a car that sat unwatched until morning.

If a dispute lands anyway

Charges tend to arrive between a few days and three weeks after return, sometimes as a deduction from the card hold with a one-line description. Do not telephone first. Write, quote the agreement number and the return date, ask for the damage assessment, the repair quotation and the photographs the claim rests on, and attach your own return sequence with the timestamps. Keep it factual and short. A letter that argues condition with evidence gets a different answer from one that argues sincerity.

If the reply does not move and the sum is serious, the consumer protection route is open to you and the company knows it, which is often enough to produce a credit. Our view, after reading a good number of these files, is that most disputed charges are not fraud but sloppiness: a car damaged between your return and the next inspection, or a pre-existing mark that nobody logged. Evidence settles sloppiness quickly. Indignation settles nothing, and it costs you three weeks of sleep.

Three things to take away

  1. Add every existing mark to the damage sheet and get the release agent to initial your additions.
  2. Shoot the same twenty-frame photograph sequence at collection and at return, in daylight where possible.
  3. Confirm the overnight parking and immobiliser conditions attached to the tracker before you take the car away.
